"Time Tracking for Ad Agencies, by Campaign"
Contents
The campaign launched on Monday
This post is for ad agencies, marketing shops, and creative studios that run on campaigns, bill retainers, and front media buys they need to claim back. If your work runs in sprints that always run long and your retainers are the invoice you forget, this is written for you.
#Campaign budgets that warn
A campaign has a hours budget, and the budget is a guess, and the guess is always optimistic. The problem is not the guess. The problem is that most trackers tell you the budget is blown after the work is done, when the only option is to eat the overrun or have an awkward conversation.
owntime alerts at 75, 90, and 100 percent of a project budget. For an agency, the project is the campaign, and the alerts fire while there is still time to act. At 75 percent, you can scope-check with the client. At 90 percent, you can set expectations. At 100 percent, you are having the conversation before the wrap report, not after.
The alerts are per-project, so a retainer that runs all year does not false-alarm the way a fixed-scope campaign would. Each campaign gets its own budget, its own alerts, and its own burn rate.
#Retainers that remind you to bill
The retainer is the most reliable income an agency has, and it is also the invoice everyone forgets, because there is nothing to trigger the memory. No new project kicks off. No estimate gets approved. The work just happens, month after month.
owntime lets you set up a recurring retainer template. The client, the expected amount, the cadence, the next run date. The template lives in your Recurring Invoices view and reminds you what should bill and when. It does not generate the draft by itself. When the run date arrives, you open the invoice view, build the draft from your tracked hours, and send it.
I am telling you plainly: the reminder is real, the auto-billing is not. The retainer template keeps you from forgetting. The billing still needs you. For an agency that would otherwise invoice the retainer three weeks late, that reminder is usually enough.
#Media buys on the bill
An agency fronts media buys, production costs, stock photography, and the client needs to see these on the invoice, itemized, so there is no question about what was included in the fee and what was a pass-through.
owntime handles these as expenses with receipts. Log the media buy, attach the receipt, mark it billable, attach it to the campaign, and it rides onto the next invoice as its own line item. Hours plus expenses plus buys, itemized clean. No second document for disbursements.
#The honest limits
owntime does not do live multi-person dashboards. Each person keeps their own file. A six-person agency has six files. If your traffic team needs a live view of who is working on what right now, that requires a server, and that is the trade this product avoids.
It also does not do resource forecasting, project management, or client approval workflows. It is time and invoicing with campaign-level budgets, and it is the layer most small agencies can use without the rest of the stack.
If your agency runs on campaigns that always run long, retainers that always get invoiced late, and media buys that sometimes never make the bill, this workflow will help. The budgets warn before the wrap. The retainers get billed on time. The buys stay itemized.
